Calendar
Cadence syncs appointments to and from Google Calendar in real time. Patients see confirmed times, providers avoid double-booking, and Cay knows exactly when slots are open.
iCloud calendar sync for providers and practices that use Apple devices as their primary tools. Appointments will appear natively across iPhone, iPad, and Mac.
Microsoft 365 and Outlook calendar integration for practices that operate within a Windows or enterprise IT environment.
EHR / Practice Management
If your practice runs SimplePractice, Cadence connects via Google Calendar sync. Appointment times flow into Cadence, and Cay handles the scheduling coordination layer on top.
Direct API integration with Kareo for patient demographic sync, appointment import, and authorization tracking across platforms.
TherapyNotes integration for practices that use it for documentation and billing, bringing scheduling data into Cadence without re-entry.

Communication
Cay sends and receives all messages via Twilio, giving your practice a dedicated phone number for patient communication. All conversations are logged and searchable.
Appointment confirmations, reminder sequences, and plan-of-care alerts sent via email as a fallback when SMS is unavailable or patient preference indicates email.
For patients who prefer a phone call over a text, automated voice confirmations and reminders delivered via Twilio Voice with natural-language responses.
Billing
Collect copays and balances directly through Cadence. Stripe handles the payment processing, Cadence handles the appointment context.

Frequently asked
No. Cadence works as a standalone scheduling system. If you do use SimplePractice, the Google Calendar sync lets Cadence see your appointments without requiring a direct API connection. Cadence then handles the scheduling coordination and patient communication on top of whatever EHR you already use.
Yes. Changes made in Cadence sync to Google Calendar, and events added or modified in Google Calendar sync back into Cadence. Cadence is the source of truth for scheduling decisions, but both systems stay current in real time.
Yes. Growth and Practice plans support multiple providers, each with their own calendar link and patient roster. The schedule view shows all providers simultaneously or filtered by individual. Cay is aware of each provider's availability when handling rescheduling conversations.
All messages are sent from a dedicated practice phone number, not from personal staff numbers. Cadence stores conversation logs with encryption at rest. Cay never transmits clinical information over SMS, only scheduling details. We are building toward full HIPAA Business Associate Agreement (BAA) coverage for applicable features.
You can export your full patient roster, appointment history, session notes, and plan of care records at any time. Data is exported in CSV and JSON formats. We provide a 90-day window after account closure during which exports remain available.
